Just the Basics!


Invite People to Join the Mailing List


Send your group members the link to the sign-up page and the email address of the list.

Here's an example of the kind of email you could send to your group:

"Hi everyone, our workgroup now has an email list. It only takes a minute to sign up, and then all our coordination emails will be sent to your normal email address. From now on, you can write to everyone in the group by emailing [insert email]. If you choose the daily digest format, you will only get one email from the list per day maximum, but it will contain all the emails sent to the list that day.

Just go to [insert sign-up page url]"


Don't forget to Copy the url of the sign-up page into the email. This is the url with the word "listinfo" in it, not the one with the word "admindb." Everyone can sign up on their own to the list. You do not have to add people.

Approve a New Member


All you have to do is log in to the admindb page. You will see all the pending members there. To add them to the list, check "Approve," and then click on the "Submit All Data" button.



Post an Email to the Group


Just send an email from your normal account to the address connected to the list. It will go out to everyone.

How does the list work?


  • The list is practical because it will not have to change as children graduate and new people take over leadership of various work groups.

  • The email list address is the public contact email for your work group.

  • Every person in the group gets every email sent to the list.

  • The group leader is manager of the list.


Dos and Don'ts...


  • Don't change the log in and password. If the log in gets changed and forgotten, a while new list would have to be created and the old one thrown away.

  • Don't use this to send attachments or big files. Google docs is great for collaborative file editing.

  • Do make sure to approve new member requests right away.

  • Do encourage a civil tone at all times.


What Should the List be Used for?


  • Coordinating meetings

  • Hearing from people who want to join the group

  • General group communication


What Do We Do When the Group Leader Changes?


If the group leader changes, notify the parent work coordinator so that the new leader can be made moderator and your email can be removed.



How Does a Person Remove Him or Herself from the List?


When a person leaves leaves a work group, or a child graduates or leaves the school, the parent will want to get off the work group mailing list.

step one: Go to the same page where they added themselves (the url with "listinfo" in it).

step two: Scroll all the way to the end of the page and enter your email address.



step three:
On the next page, click on the "Unsubscribe" button.

step four:
Click on the confirmation link in the email that will be sent to the address you are unsubbing.

What if Someone Forgets His or Her Password?


This happens to everyone once in a while!

step one:
Go to the same page where they added themselves (the url with "listinfo" in it).

step two:
Scroll all the way to the end of the page and enter your email address.



step three:
On the next page, click on the "Reminder" button.

step four: A password reminder will be sent to that email address.
